Terms and Conditions

Please read these Terms and Conditions carefully. All questions must be raised before attending your appointment.

These Terms and Conditions are subject to change. Any updates will apply only to appointments booked after the changes are published. If you are partway through a treatment plan, your original terms will remain in effect.

It is essential that all information provided by you, whether on your medical questionnaire or in consultation with your clinician, is accurate. Non-disclosure of relevant information may invalidate your agreement with us.

Consultation Fees - Self Pay

Yorkshire Sports Medicine (YSM) is a patient-centred clinic that prides itself on offering high-quality, competitively priced treatments, based on our team's experience, expertise, and level of care.

We aim to provide detailed information to help patients make informed decisions. Our reception team works closely with consultants, radiologists, doctors, and clinicians, and can assist with any initial queries prior to your appointment.

Payment is required for all appointments and related treatments. Your consultation will be comprehensive and conducted by a suitably qualified clinician.

The cost of your appointment will be quoted by a YSM team member. If further treatments such as scans or diagnostics are required, the associated fees will be provided in advance. Please ensure you are fully aware of all fees before treatment. If unsure, ask a YSM team member.

Payment

Full payment is due no later than the end of your appointment, excluding Sport and Exercise Medicine (SEM) appointments which are due at the time of booking.

If you undergo an MRI or other imaging externally, this will be invoiced separately by the imaging provider, and their own Terms and Conditions will apply.

We accept payment via Credit or Debit card (excluding American Express) and bank transfer. YSM does not offer finance options.

Consultation Fees - Health Insurance

YSM is recognised by most major health insurance providers and operates on a fee-assured basis.

When booking your appointment, you must provide:

The name of your health insurance provider
Your policy number
Your authorisation code

Without this information, you will be required to pay the full cost of your appointment. If using health insurance, your details will be shared with Medserv, a third-party company that manages claims.

Payment of Invoices

All invoices must be paid within 14 days of the invoice date. Late payments will incur a monthly late fee of 6% above the Bank of England base rate. Each recovery attempt will also incur a £5 administration charge. Unpaid invoices may be pursued via www.moneyclaim.gov.uk.

Cancellations and Non-Attendance

Cancellations must be made via phone, email, or in person at least 48 hours prior to your scheduled appointment.

We kindly ask that you cancel as early as possible to avoid confusion and help us maintain service levels.

Cancellations made less than 48 hours in advance: You will be charged the full appointment fee and no refund will be issued.
Exception: A first-time cancellation may be rescheduled without charge if rebooked and attended within 14 days of the original appointment.
Failure to attend: You will be charged the full appointment fee with no refund.
MRI/imaging cancellations at a different provider: The provider’s cancellation policy will apply.

Late Arrivals

We will do our best to accommodate late arrivals, but this may result in:

Reduced consultation time
Rescheduling
Cancellation with charges still applying

Remote Consultations

YSM offers remote consultations via telephone or online video.

Ensure you have a secure and stable internet connection.
YSM is not responsible for poor-quality calls due to your internet connection.
Conduct appointments in a quiet, private setting.
You must not record or retain any part of the consultation without prior consent.
YSM reserves the right not to offer remote consultations if deemed clinically inappropriate.
Payment is due at the time of booking.

Block Booking (Sports Massage & Dry Needling Only)

These apply only to Sports Massage & Dry Needling and consist of 3 x 45-minute sessions (Sports Massage) or 3 x 30-minute sessions (Dry Needling).

All sessions must be booked and attended within 3 calendar months of the first appointment.
Block bookings are non-refundable, non-transferable and must be used with the same clinician.

Personal Items

YSM does not accept responsibility for loss or damage to personal belongings, including valuables such as jewellery, brought into the clinic.

Armed Forces 10% Discount	- Proof of current employment in the British Armed Forces (inc Navy, Merchant Navy, RAF, Reservists, & Territorial Army) required - Spouses must provide proof of marital status - Subject to consultation, suitability, and availability - Cannot be combined with other offers - YSM reserves the right to withdraw this offer at any time

Child Policy (Under 18s)

Under 11’s can only be seen by our paediatric specialist clinicians.

YSM cannot take responsibility for children within our clinics. We ask that children are not brought to appointments that are not for them. If unavoidable, a parent or guardian must supervise the child at all times. Additionally, all patients under the age of 18 must be accompanied by an adult for their own appointments.

Sport and Exercise Medicine Consultant Appointments

All Sport and Exercise Medicine consultant appointments will include a summary letter and correspondence with your GP.
